Co-worker Legal Operations on the Regulatory Process(36-40 h/wk)

Interested in driving and supporting Triodos’ Regulatory Change Management Process? The Triodos Legal Operations team is looking for reinforcement! We are looking for someone who focuses on monitoring and overseeing the implementation of Regulatory Changes within Triodos Bank Group.

This is a role on post-secundary vocational level (Dutch: MBO), in which a candidate needs to have basic legal knowledge and will partly work on monitoring the regulatory process, and besides that on supporting the Paralegals in the team. In this role one can grow towards a role of Paralegal, so we're not looking for experienced Legal Counsels, Lawyers or Paralegals!

In this role, you will address the challenges typically seen in Regulatory Change Management. The regulatory landscape is increasingly complex, ever-changing, and therefore requires a structural and effective management to be able to demonstrate compliance and being in control. This means:

  • Responsible for ensuring proper usage of tooling.
  • Contact with users; forward and prioritize maintenance requests.
  • Have a complete oversight of the status of Regulatory Changes organization wide.
  • Being able to report on status of implementations.

This part of the Legal Operations activities within Triodos Bank Group Legal coordinates, monitors, reviews, follows up and reports across the entire Regulatory Change Management Process (RCMP).

The Group Legal Department enables the Regulatory Change Committee (RCC) and the Executive Board to steer on priorities and capacity related to regulatory changes with the ultimate goal of being compliant and being able to demonstrate compliance with regulatory changes in a sustainable and effective manner.

Next to your responsibilities related to Regulatory Change Management, you are a member of the Legal Operations activity as part of the Group Legal Department, together with two colleagues. Your tasks will also relate to the maintenance of the Group Legal intranet environment, as well as supporting the Group Legal Document Management System and other Legal applications we use.

Take action

Executing (first line) monitoring across RCMP - Portfolio management

  • Provide oversight of Regulatory Changes affecting the organisation through the Regulatory Change List and related artefacts (e.g., Regulatory Note or the regulatory implementation Plan).
  • Maintain Regulatory Change calendar.
  • Monitor implementation progress by reviewing logged progress and evidence and follow-up when appropriate.
  • Monitor progress and impediments in the implementation of Regulatory Changes.

Reporting to stakeholders; provide insight to enable decision making

  • Responsible for creating progress report.
  • Responsible for creating risk reports.
  • Coordinate RCC meetings: Prepare material to support the decision-making process of RCC (e.g., choosing Implementing Owners for regulatory changes).
  • Support escalation.

Tooling and templates owner

  • Responsible for ensuring proper usage of tooling.
  • Contact with users; forward and prioritize maintenance requests.
  • Responsible for maintenance of templates.
  • Ensure that relevant documentation is properly filled in for each step of the Regulatory Change Management Process for optimal hand-over to business.
  • Maintain Legal Intranet environment.
  • Provide training to user.

Other Legal-tech related responsibilities

  • Arrange the layout and maintain the Group legal environment on Intranet.
  • Arrange the layout and maintain the content of Triodos internal policies, procedures and handbooks.
  • Assist, advice and support the Group Legal databases and participate in new Legal-tech developments.

The teamThe Group Legal Department is part of the Group Legal Functional Area and is managed by the General Counsel. The Head Office Legal team is managed directly by the Group Head of Legal. This team presently consists of two co-workers within Legal Operations and five Legal Counsels. We are responsible for the day-to-day legal support at a Head Office level, and for the support to the local legal teams with our knowledge of rules and regulations at a European level. Together with the local offices, the team is part of the broader Legal Community of Triodos Bank Group, consisting of approx. 34 colleagues. You report to the Group Head of Legal, acting independently within your responsibilities.

You have/are:

  • A strong link to the values and mission of Triodos Bank.
  • Post-secundary vocational level (Dutch: MBO).
  • A more than average affinity with IT.
  • A creative person with writing skills.
  • Knowledge of Regulatory Change Processes.
  • 1 to 2 years of relevant working experience.
  • Excellent skills in MS Office applications, especially PowerPoint, MS Teams, and Excel.
  • Strong communication skills in English and Dutch.
  • An international orientation and good understanding of cultural differences.
